We look at what your current system lets you export, account by account, and write down what comes across, what gets archived and what gets rebuilt. You sign that off before anything moves.

Up to 2,000 client records cleaned, de-duplicated and imported into ServiceM8 by CSV, with site addresses and contact people kept against the right client.

Open work carried over

Quotes and jobs still in progress brought across so nothing live gets dropped at cutover. Where ServiceM8 enables its partner job import for your move we use it; otherwise they are entered as part of the cutover.

Completed jobs, invoices and whatever notes and files your old system releases are saved to a folder you own, named so you can find a job by client or address later.

ServiceM8 does not take another platform's full history. It imports clients by CSV, and its partner job import covers only a limited set of active or recently closed jobs. Everything else is archived, not lost.

Tradify to ServiceM8

Tradify documents CSV exports for customers, customer sites, jobs, quotes, invoices, suppliers and price lists. Forms and certificates cannot be exported in bulk, job notes and files come by request to Tradify support, and there is no appointments export.

From export to cutover in four steps

Review your exports

You give us access or run the exports we list. We map every field to ServiceM8 and send you the plan: what moves, what is archived, what is rebuilt.

Import and rebuild

Clients, sites and contacts go in, templates and your form are rebuilt, and the automations are switched on. Your team keeps working in the old system meanwhile.

Cut over

On the agreed date, open work is carried over, upcoming bookings go into the ServiceM8 schedule and new jobs start in ServiceM8.

Onboard and archive

The team gets its onboarding session, the history archive is handed over, and you have 14 days of support while the new habits settle.

  • Admin access to your current system, or the exports we list, run by you.
  • A ServiceM8 account on the plan you intend to use. The subscription is billed by ServiceM8.
  • Your current quote, invoice and job report layouts, and the form you want rebuilt first.
  • A cutover date that avoids your busiest week, and an hour of the team for onboarding.

Turnaround: two to three weeks

We plan for two to three weeks from export review to cutover, and lock the cutover date with you at scoping. The biggest variable is how fast the exports arrive, so start that part early.

Keep your old system running until the archive is handed over. Some platforms only release notes and files while your subscription is live.

  • You run jobs in Tradify, Fergus, AroFlo or Simpro today and have decided ServiceM8 suits you better.
  • Your workflow already works. You want it on a new platform, not redesigned.
  • Your client list is messy enough that a straight export and import would bring the mess with it.
  • You cannot afford a week where open jobs sit in two systems and nobody knows which is right.
Do not buy this if
  • You are starting from nothing, with no old system to move off. Set ServiceM8 up yourself or buy the full setup.
  • You want years of completed jobs loaded into ServiceM8 as live jobs. ServiceM8 advises against it and we archive them instead.
  • You also need the workflow mapped, a price book loaded and accounting connected. That is the full setup.

Our full ServiceM8 setup at $4,800 + GST goes further: your job workflow mapped and signed off, a price book of up to 150 items, Xero, MYOB or QuickBooks and card payments connected, and recorded owner and team training. How much does it cost to switch to ServiceM8?

Our switch to ServiceM8 service starts from $1,800 + GST. We fix the price after reviewing what your current system exports, because a clean list of 400 clients is a different job to 2,000 records with duplicates. The ServiceM8 subscription is separate and billed by ServiceM8. No hourly billing and no lock-in contract.

Can you move my job history from Tradify, Fergus, AroFlo or Simpro into ServiceM8?

Not as live jobs, and we would not recommend it. ServiceM8’s partner job import is a restricted tool for a limited set of active or recently closed jobs, and ServiceM8 itself says not to fill a new account with years of history. We carry over open work and archive completed jobs, invoices and any notes and files your old system releases into a folder you own.

How is this different from your $4,800 + GST ServiceM8 setup?

The $4,800 + GST setup builds ServiceM8 around your business from scratch: workflow mapped and signed off, price book of up to 150 items, accounting and card payments connected, and owner and team training. The switch service, from $1,800 + GST, is for businesses whose workflow already works and needs moving: records imported, open work carried over, history archived, templates and a form rebuilt, and the team onboarded.

How long does switching to ServiceM8 take?

We plan for two to three weeks from export review to cutover, and agree the cutover date with you at scoping. The biggest variable is how quickly the exports arrive, especially where your old platform only releases notes and files through a support request.

Should I cancel my old system before switching?

No. Keep it running until the archive is handed over. Tradify, for example, releases job notes and files only by support request, and that needs a live subscription. If you are on Simpro, check your annual contract end date before you set a cutover, so you are not paying for two systems longer than you need to.

Will my clients double up if ServiceM8 is connected to Xero?

They can. ServiceM8 imports clients from Xero, MYOB or QuickBooks Online when you connect them, so a CSV import on top of that creates duplicates. We check what is already in the account before importing and match records rather than loading the list twice.
