ServiceM8 lead management, from the first call to the job
ServiceM8 lead management is the step ServiceM8 leaves out: somewhere
for an enquiry to live before there is a quote. We fill it with a text.
Every call to your business gets a booking link, the customer types
their own details, and the form lands in your ServiceM8 Inbox through
the API. GoHighLevel handles the follow-up. ServiceM8 keeps booking and
running the job.
Updated October 2026 · ServiceM8 Bronze Partner · from $1,800 + GST
Example: a missed call gets the text-back with the booking link, the form lands in the ServiceM8 Inbox, and the office books the job. Mock-up with fictional data.
// WHEN THE PHONE RINGS
What happens when the phone rings
01 · TriggerSomeone rings
Answered or missed, every inbound call counts.
02 · AutomaticA booking-link text goes out
Sent by GoHighLevel within seconds of the call.
03 · CustomerThey type their own details
Name, address and the job, in their words.
04 · AutomaticIt lands in the ServiceM8 Inbox
Through the ServiceM8 API, ready to convert into a job.
When the office answers
The link replaces the notepad
The office says: “I’ve just sent you a link, can you fill that out?”
The customer fills in their name, address and the job, in their own words.
The form goes straight into the ServiceM8 Inbox through the ServiceM8 API, run by Make.com or n8n.
Your admin converts the Inbox item into a job, calls back and books it.
Optional: once it is booked, a short text on how you work with customers.
When nobody answers
The text-back does the asking
GoHighLevel sends an instant text-back, written to sound like you typed it on your phone: “Sorry we missed you, we’re on the phone or on site. Can you fill out this form? It gets you straight into our system.”
It can also leave a short recorded voicemail.
The link goes to a dedicated booking page, with a thank-you page that sets out clear next steps, so the customer does not ring the next business while they wait.
// WHO DOES WHAT
ServiceM8 runs the job, GoHighLevel runs the follow-up
GoHighLevel

Data
Who called, from where, what happened next
The Inbox item, then the job card
The customer types their own details straight into the system. Nobody
retypes a phone number from a voicemail, and the address on the job is
the one the customer wrote. This is not a full two-way sync. If you also
want quotes, jobs and invoices moving your GoHighLevel pipeline, that is
our ServiceM8 GoHighLevel integration.
// WHY THE INBOX
Why your leads should land in ServiceM8, not beside it
Example
Example: a CRM beside ServiceM8 versus the enquiry landing in its Inbox. Illustration, not a real account.
ServiceM8 owners keep asking the same question in the add-on groups:
which CRM should sit beside ServiceM8 to manage leads? A separate CRM
gives you a pipeline your team has to remember to check.
Landing the enquiry in the ServiceM8 Inbox keeps the office in one
screen. The lead stage is the Inbox. The quote stage is the job.
GoHighLevel only does the jobs ServiceM8 was never built for: the instant
text, the missed-call reply and the follow-up.
// WHAT WE SET UP
What the setup includes
The booking-link text for answered calls, and the missed-call text-back, written in your voice.
The booking form and the dedicated booking page, with a thank-you page and next steps.
The form-to-Inbox connection through the ServiceM8 API, on Make.com or n8n.
A dedicated Web Blend user in your ServiceM8 for the connection, so a staff password change cannot break it.
An alert to us if the flow goes quiet.
Optional booked-job text and recorded voicemail.
ServiceM8 Call-to-Inbox Setup: from $1,800 + GST. One fixed number, in writing,
before we start. No hourly billing, no lock-in contract.
Does ServiceM8 have a lead or pipeline stage before the quote?
Not for phone calls. A ServiceM8 job usually starts as a quote. Enquiries from ServiceM8’s own online booking form go to the Inbox, but phone calls and texts have nowhere to sit until someone creates a job. This setup makes the Inbox that stage, for every call.
Can an enquiry be sent into the ServiceM8 Inbox automatically?
Yes. ServiceM8’s API can create a new Inbox message, with the sender’s details and the job details attached so the office can convert it into a job. That is what the booking form uses, run through Make.com or n8n.
Do I need GoHighLevel?
For the instant text on every call, the missed-call text-back and the recorded voicemail, yes. The form-to-Inbox part runs on Make.com or n8n and the ServiceM8 API.
Will the job card have the right details?
The customer types them, so the name, number and address are theirs, not someone’s guess from a bad line. Your admin still checks the Inbox item before converting it into a job.
Is this the same as a full ServiceM8 GoHighLevel integration?
No. This gets every enquiry into ServiceM8 and followed up. A full two-way sync, where quotes, jobs and invoices move your GoHighLevel pipeline, is a separate build on our ServiceM8 GoHighLevel integration page.
How much does it cost?
ServiceM8 Call-to-Inbox Setup is from $1,800 + GST, with one fixed number in writing before any work starts. No hourly billing, no lock-in contract. Web Blend is a ServiceM8 Bronze Partner and runs GoHighLevel in-house.
