Quote template
Your logo, colours and layout, the line items the way you want customers to read them, your terms and conditions on their own page, and the customer signature fields for online acceptance.
Invoice template
Payment terms stated plainly, bank details that actually print, and the amount paid and balance due lines so a part-paid job does not confuse anyone.
Work order template
The job card your team or your builder gets: job address, description and site notes in the order a tech reads them, without prices where they do not belong.
Deposit and payment wording
Deposit percentage and amount pulled onto the quote if you take deposits through ServiceM8 Pay, plus the payment terms line on every invoice.

A ServiceM8 template is a Word file with merge fields
In the Online Dashboard, Settings then Document Templates holds a library of quote and invoice designs. You can pick one, or download it as a Word file, change it and upload it back. ServiceM8's own template help docs recommend starting from a library design and bringing in a ServiceM8 Partner when the design gets complex.
The catch is Word. Every field has to be a correctly named merge field, images must sit inline inside tables, and the preview screen does not always show what the PDF will. One wrong field and the upload fails. That is the part we do for you.

Your logo as a high-resolution file, and your brand colours if you have them. -

Your ABN and the bank details you want customers to pay into. -
A quote and an invoice you have sent recently, so we can see what changes. -
A ServiceM8 login with access to Settings, for the build and testing.
We aim to have all three templates live in your account within five business days of receiving everything in the list. You then get one round of changes, included in the price.
Your current templates stay in place until the new ones are tested, so nothing you send in the meantime is affected.

Check what you have
We look at your current templates and your ServiceM8 settings first. If a library template plus the built-in settings already fixes it, we tell you and you keep your money.
Build in Word
We start from the closest ServiceM8 library design, then rebuild it in Word with your branding, your wording and the merge fields each document needs.
Test on real jobs
The template preview is not reliable, so we produce real quote, invoice and work order PDFs from jobs in your account and check every field lands.
Hand over
The finished templates go live in your account, and you get the Word files so any future change starts from the right version.

Get in touchHow do ServiceM8 templates work?
ServiceM8 templates are Word documents with merge fields in them. When you send a quote, invoice or work order, ServiceM8 fills those fields with the job, client and pricing data and turns the result into a PDF. You manage them in the Online Dashboard under Settings, then Document Templates, where you can pick a design from the library or upload your own .docx.
Can I just pick a template from the ServiceM8 library?
Yes, and ServiceM8 recommends starting there. When you select a library template it fills in your business details and logo, and some designs have built-in settings for a short terms line, payment options and bank details. If one of those looks right, you do not need us. A custom template is for when none of them match your branding or your paperwork.
Can you add our terms and conditions to the ServiceM8 quote template?
Yes. A short line can sit in the footer on templates that support it; full terms go on their own page at the end of the quote, which is how ServiceM8 documents it. You supply the wording. We set it out so it reads cleanly, but we do not write or give legal advice on the terms themselves.
Can the quote show a deposit?
If you take deposits through ServiceM8 Pay, the quote template can show the deposit percentage and the dollar amount due, using the merge fields ServiceM8 provides for it. If you do not use ServiceM8 Pay, deposits are handled with partial invoicing, and we add your deposit policy to the quote as written wording instead.
Why are my bank details not showing on the ServiceM8 invoice?
Bank details only show once EFT is ticked as a payment method in Settings, Preferences, Invoicing, and only on a template that prints them. We check that setting and build the bank details into your invoice template, so every invoice tells the customer exactly where to pay.
What does ServiceM8 template design cost?
$450 + GST, fixed. That covers your quote, invoice and work order templates, terms and conditions, deposit and payment terms wording, testing on real jobs in your account, and one round of changes after you see them. Quote and invoice templates are also included in every ServiceM8 setup package on our ServiceM8 page, so if you are setting up from scratch, start there instead.
