// AI RECEPTIONIST FIX

Callers hang up on your AI receptionist? Make it the overflow, not the front door

Callers hang up on an AI receptionist when it is the first voice they hear, when it hides what it is, or when it asks questions without saying what happens next. The fix is the call flow, not a better voice. Your phones ring first, the AI only takes the calls nobody can answer, it says it's an AI and offers two options, and anyone who hangs up within 20 seconds gets your booking link by text.

// WHY IT HAPPENS

Why callers hang up on an AI receptionist

It isn't just your callers. Plenty of people say outright that they hang up and ring a competitor the moment an AI answers, and owners setting one up name the same fear. Three things make it worse.

The AI answered first.

The caller rang a tradie, not a robot. Hearing an AI before any person had a chance to pick up feels like being fobbed off.

It didn't say what it was.

A voice that sounds almost human, then stumbles, makes people suspicious. They hang up rather than work out what they are talking to.

It asked questions with no next step.

A string of questions with no "here is what happens next" loses people, whether a person or an AI is asking. Callers want to know when someone will get back to them.

// THE CALL FLOW

The call flow that keeps callers on the line

The AI greeting card: Hi, I am the AI assistant, I can help get your details logged so the business can call you back first thing. Below it, two numbered options: do you want me to help you, or do you want me to send you the booking form Example
Example: the AI says what it is up front, then offers two options, in the wording from our call flow.
  1. Your phones ring first. The AI is the overflow, never the first point of contact.
  2. Nobody answers, so the AI picks up and says what it is. "Hi, I'm the AI assistant, I can help get your details logged so the business can call you back first thing."
  3. It offers two options. "Do you want me to help you?" or "Do you want me to send you the booking form so you can enter your details yourself?"
  4. It takes the details, asks for the suburb, repeats everything back and confirms. The caller hangs up knowing what happens next.

Because the caller knows what they are talking to and what happens next, they engage. Most just want the job logged. The same flow runs our after hours answering for tradies, where emergency lines never reach the AI.

// THE FALLBACK

If they still hang up: the 20-second rule

Some people won't talk to an AI, and that's fine. On GoHighLevel, if the AI call lasts under 20 seconds, an automation texts the caller your booking link straight away. They can book without talking to anyone, and they don't need to ring the next business.

We check that text arrives as part of the real-call test, the same way we test every other path on the ServiceM8 Phone Agent setup.

// FIT

When this isn't the fix

Most of your calls are existing customers asking where the tech is.

The AI only knows what it is given. ServiceM8 says its Phone Agent doesn't read job records.

You have no booking page.

The two options need somewhere to send people. We would build that first.

Why do callers hang up on AI receptionists?

In the complaints we have read, the AI was the first voice the caller heard, it didn't say it was an AI, or it asked questions without a clear next step. Callers wanted a tradie and a time. Put the AI behind your phones and give it an honest greeting with two options.

Should my AI receptionist say it's an AI?

Yes. Ours opens with "Hi, I'm the AI assistant" and says why it is answering: to get the details logged so the business can call back first thing. When people know what they are talking to, they engage.

What happens if a caller hangs up in the first 20 seconds?

On GoHighLevel, an automation texts them your booking link straight away, so they can enter their details without talking to anyone and don't need to ring the next business.

What if a caller has an emergency?

Emergency searches can go to dedicated tracking numbers that ring a person and never reach the AI. On the main line, the AI won't make up safety advice: it reads your approved safety script word for word and nothing else.

Can you fix an AI receptionist we bought from someone else?

We fix AI receptionists on GoHighLevel and ServiceM8 Phone Agent. If yours runs on another platform, tell us which one and we will say straight whether we can work on it before you pay anything.

Should I just switch it off?

Try moving it to overflow first. If callers still hang up, or your call volume is low, missed call text back on its own is simpler and cheaper.

Tell us which phone system or AI receptionist you run. A person at Web Blend sends the greeting we load on our builds: it says it is an AI, gives callers two options and reads their details back, worded for your business.

  • The opening line that tells callers what they are talking to
  • The two options that keep people on the line
  • The read-back that confirms the job before they hang up
