What is Office Agent?
ServiceM8 gave a preview of Office Agent last year. At this launch it went live for every customer. It’s an AI assistant that lives inside ServiceM8, not a separate app or a chatbot bolted onto the side. It knows your job data, your diary history and, if you’ve written any, your Knowledge articles. It has memory, so a preference you state once carries into later conversations rather than needing to be repeated.
The important design choice is that Office Agent prepares actions rather than taking them. Whatever it drafts, a note, a quote, a booking, an SMS, sits pending until you approve or decline it. That’s the pattern to hold onto through everything below.
How does Office Agent work on the job card?
Open Office Agent from anywhere online and it appears as a panel beside your work, already aware of the job card you’re looking at. Ask it something like “tell me what happened on this job and is it ready to invoice”, and it reads the job details and diary history and answers from that, no need to explain which job you mean.
From there it can:
- Find the most valuable quotes still waiting on a response and prepare a follow-up for each one.
- Work out which customers have the largest outstanding balance and build that as a report inside the conversation.
- Draft a quote or invoice using job data, recorded time, the diary and Knowledge, including line items and quantities, ready for you to check before it goes out.
Every one of those shows up as a suggested action in the chat. You approve it, decline it, or edit it first. Nothing sends or saves itself.
What can the in-app voice version do?
Office Agent isn’t limited to a browser. Open a job in the ServiceM8 app and talk to it directly. In the launch demo, a technician asked for a snapshot of a rainwater pump job, added an internal note about a pump failure, checked a staff member’s availability for the next morning, booked a two hour slot, and had a customer SMS drafted, all by voice, in one back and forth conversation. Each step (the note, the booking) still went to pending approval before it was applied.
Talking is faster than tapping through screens, and you can interrupt or correct it mid-sentence. It supports the same range of job actions as the online version, so you’re not missing capability by using voice in the field instead of typing at a desk.
Can Office Agent handle recurring tasks?
Beyond answering questions as you ask them, Office Agent can run tasks on a schedule from its task manager. Type what you want in plain language, for example: every weekday at 8.30am, review the jobs in action required, prioritise the five that most need attention, explain why, and prepare the next step where the evidence is clear.
Once it’s set up, that runs in the background automatically. If you’ve asked for notifications, you get a short summary when it finishes, and the prepared actions wait on the relevant jobs for you to approve, decline or adjust.
This is where task memory matters. Say Office Agent suggests assigning a job type to John, but your business always gives that work to Sarah. Decline the suggestion and explain why, and it updates that recurring task’s memory. Next time it runs, it applies the correction on its own. Over time a recurring task gets more accurate the more you correct it, rather than making the same mistake every day.
How does Office Agent learn your procedures?
Rather than teaching it one rule at a time through declined suggestions, you can give it a head start with Knowledge, ServiceM8’s existing feature for documenting business policies and procedures. If you’ve written down how to handle a refund or a callback, Office Agent can search for and read that article so it already knows the procedure before it drafts anything.
Knowledge gives the starting position. Task memory then refines the exceptions specific to each recurring task as you run and correct it.

What does Office Agent cost?
Every ServiceM8 plan includes a daily usage allowance for Office Agent at no extra cost, sized to the plan you’re on. If your business wants more, a monthly fee adds scheduled recurring tasks and higher daily limits. ServiceM8 didn’t state the dollar figure for either the daily allowance or the monthly fee at the launch, so we can’t put a number on it here. We’ll update this once ServiceM8 publishes pricing.
How do you turn Office Agent on?
Office Agent is available to activate now. ServiceM8’s launch page has an activation link that reveals an “activate ServiceM8 15” option inside Settings. Click through that and Office Agent, along with the rest of the ServiceM8 15 release, becomes available on your account.
It isn’t an iOS-only feature either. ServiceM8 for Android gets Office Agent along with the other new app experiences announced at this launch, so field staff on Android aren’t left behind on this one.
What should a tradie set up first?
Office Agent works out of the box, but it’s more useful with a small amount of setup:
- Write two or three Knowledge articles for your most common procedures first. Refunds, callbacks, how you triage urgent jobs. These give Office Agent a documented starting point instead of it guessing.
- Start with one recurring task, not five. The 8.30am action-required review is a sensible first one. Get it right before adding more.
- Leave approvals switched on. Every action from Office Agent, online or by voice, is designed to sit pending until you approve it. There’s no reason to turn that off while you’re still learning what it gets right and wrong.
