Start with the customer's problem, then gather only what changes the next action. The prompts are written so an office person, owner or automated form can use the same intake logic.
Ask: “What do you need done, and what is happening now?”
Stops unrelated work and vague requests reaching the booking calendar.
Ask: “What is the job postcode and street suburb?”
Checks travel time and avoids promising a visit outside your normal area.
Ask: “Can you send two or three photos, or a short video if the issue moves or makes a sound?”
Gives the person quoting useful context before a phone call or site visit.
Ask: “Is this urgent, needed by a set date, or still at the planning stage?”
Separates immediate work from future estimates without treating either as a bad lead.
Ask: “Do you have a rough budget range, approved scope or comparable quote?”
Surfaces a major mismatch before anyone spends an hour travelling and measuring.
Ask: “Who owns the property or signs off the quote, and should they be included in the appointment?”
Prevents a completed site visit ending with a second decision process nobody planned for.
Ask: “Would a phone estimate, paid inspection, site visit or polite referral be the right next step?”
Qualification should route the enquiry, not force every person into the same booking.

Qualification is useful when it reduces uncertainty. A simple three-lane rule is easier for staff to follow than a hidden score nobody trusts.

Explain the mismatch in one sentence. Refer the customer elsewhere when you know a suitable option, then record the reason.
Do not use budget, postcode or a single answer as an automatic reason to reject someone. Use the full context, offer an accessible way to speak with a person, and collect only the information needed to decide the next step.
