    Pick your trade and state and the right licence label appears, from a QBCC number in Queensland to a NSW Fair Trading licence. Regulators expect it on your emails and most generators leave it out.

    The free tool already has a team link that locks the company details so staff only add their own name and number. The branded version goes further: your logo and colours are locked in, every staff member uses one link, and banners are set company-wide, so a promo, a new service or holiday hours changes in every signature the moment you update it.

    Add it to Gmail or Outlook

    1. Open Gmail in a desktop browser, click the gear icon at the top right, then See all settings.
    2. Stay on the General tab and scroll down to Signature.
    3. Click Create new, give it a name, and click Create.
    4. Click into the signature box and paste with Ctrl+V (Cmd+V on a Mac). Your logo appears straight away because it is a hosted image, so you do not need Gmail's image button.
    5. Under Signature defaults, pick the new signature for both new emails and replies.
    6. Scroll to the bottom and click Save Changes.
    7. Open a new message to check it. If Gmail says the signature is too long, you have pasted more than the signature: Gmail caps signatures at 10,000 characters. Clear the box, click Copy signature again and paste once.

    Covers the New Outlook app on Windows and Outlook on the web. Both use the same settings panel.

    1. Click the gear icon at the top right to open Settings.
    2. Go to Accounts, then Signatures. On older web builds it is under Mail, then Compose and reply.
    3. Click New signature and give it a name.
    4. Click into the editor and paste with Ctrl+V.
    5. Under Select default signatures, choose it for new messages and for replies and forwards, then click Save.
    6. Send yourself a test email. If the logo arrived as an attachment, the paste picked up an embedded copy of the image: delete the signature, click Copy signature on the generator again and re-paste. Our images are hosted, so a clean paste keeps them as links, not attachments.
    7. If the paste dropped the fonts or logo entirely, use the drag method: download the .htm file, open it in a browser tab, press Ctrl+A, then drag the selection into the Outlook signature editor. Drag keeps the formatting that Outlook's paste handler strips.
    1. In Outlook, go to File, then Options, then Mail, and click the Signatures button.
    2. Click New, give the signature a name, and click OK.
    3. Click into the edit box and paste with Ctrl+V.
    4. Set the default signature for new messages and for replies and forwards, then click OK.
    5. Prefer the file route? Create the signature as above with any placeholder text and save it, then close Outlook. That first save is what makes Outlook generate its signature files.
    6. Press Win+R, type %APPDATA%\Microsoft\Signatures and press Enter.
    7. Rename the downloaded .htm file to match the signature name exactly, replace the existing .htm file in that folder, and reopen Outlook.
    1. In the menu bar, click Outlook, then Settings (called Preferences on older versions).
    2. Click Signatures.
    3. Click the + button to add a signature and give it a name.
    4. Click into the editor and paste with Cmd+V.
    5. Close the editor window to save it.
    6. Back in the Signatures list, use Choose default signature to set it for new messages and for replies and forwards.
    1. Open Mail, click Mail in the menu bar, then Settings.
    2. Click the Signatures tab and select the account you want the signature on.
    3. Click the + button and give the signature a name.
    4. Click into the signature box and paste with Cmd+V.
    5. Untick Always match my default message font, otherwise Mail overrides the signature's fonts.
    6. Use Choose Signature at the bottom of the panel to make it the default for that account.
    7. Open a new message to check it. Mail only loads images from HTTPS addresses, which is what the generator uses, but the small preview in Settings does not always load them. The new message is the real test.

    The built-in Mail app on iPhone strips most HTML when you save a signature. Logos and layout do not survive reliably, so treat this as a plain-text signature.

    1. Open Settings, then Mail, then Signature.
    2. Choose Per Account if you have more than one address.
    3. Paste the plain-text version of your signature, or type your name, business, phone and website on separate lines.
    4. Tap back to save. There is no save button.
    5. Want the full signature with your logo on your phone? Send from the Gmail app or the Outlook app instead. In the Gmail app, go to Settings, your account, then Signature settings and leave Mobile Signature switched off so it uses your web signature. In the Outlook app, Settings then Signature holds its own signature, separate from the desktop one.

    The Gmail app on Android only supports a plain-text mobile signature. It does not carry your logo or layout.

    1. Set up the full signature in Gmail on a desktop browser first (see the Gmail tab). That signature goes out on every email you send from a computer.
    2. In the Gmail app, tap the menu icon, then Settings, then your account.
    3. Tap Mobile Signature.
    4. Type a short plain-text version: name, business, phone and website on separate lines, then tap OK.
    5. Using the Outlook app on Android? Its signature lives under Settings, then Signature, and is plain text as well.

    Does it work in Outlook?

    Yes. The signature is built from tables with inline styles, which is what Outlook on Windows needs, and every image carries a fixed width and height so Outlook cannot stretch it. Use the Download .htm button for classic Outlook, or paste it straight into the signature editor in new Outlook and Outlook on the web.

    Why is my logo hosted on webblend.au?

    An email signature cannot carry the image inside it. The logo has to live at a public web address so every email you send can load it. When you crop your logo we save a copy to webblend.au and point the signature at it, so it keeps working after you close this page. If you would rather host it yourself, paste your own image URL instead.

    Is it really free?

    Yes. There is no account, no trial and no paid tier. The one thing we add is a very faint "Created with Web Blend" line at the bottom of the signature. If you would rather not show it, leave your email in the tool and it is removed, and we send you the install steps at the same time.

    Why does it ask for my trade and state?

    Because the licence line depends on both. A Queensland builder shows a QBCC number, a NSW plumber shows a NSW Fair Trading licence and a Victorian electrician shows an Energy Safe Victoria licence. Pick your trade and state and the tool fills the right label so you only type the number. Other industries get the line that is usual for them, such as a tax agent number or NDIS provider number.

    Do I have to show my licence number?

    For building, plumbing and electrical work in NSW, QLD, VIC and WA, the regulators require your licence number on advertising, and an email signature counts. The tool fills the right label for your state so you only add the number. For other industries it is not required in the same way, but showing your registration or provider number is best practice and helps people trust the email.

    Will it work on my phone?

    Partly. The Gmail app on Android and the Outlook app take plain text only, so switch the output to Phone and paste that short version into the app's own signature setting. iPhone Mail can take the full version: send yourself an email with the signature in it, open it on your phone, copy the signature and paste it into Settings, Mail, Signature.

    What is the digital business card?

    A mobile page at card.control.business that holds your details and lets people save you to their phone in one tap. Paste your card link and the signature adds a Save my contact button and an optional QR code. Both are optional, and the signature works without them.

    Can I change it later?

    Yes. Your details are saved in this browser as you type, so when you come back on the same device the form is filled in and you can adjust anything and copy it again. Hosted images stay where they are.

    Why not paste the image straight into my signature?

    Gmail and Outlook treat a pasted image as an attachment or strip it out, so it shows as a broken box or a paperclip on the other end. Linking to a hosted image is the only way that works reliably across every mail app.

    Can you build one for my whole team?

    Yes. For a small team, the free tool's team link already locks in the company details so each person only adds their own name and number. The branded company version goes further: your logo and colours are fixed, every staff member uses one link, and you can change a banner company-wide at any time, with our support if anything breaks.     What does the company version cost?

    It is quoted per business. The price depends on how many staff you have and whether you want central banner control, so we do not publish a single number. Tell us your team size and mail platform and we will send a straight quote.
